Office 365

What is Office 365?

Microsoft Office 365 is a collection of collaboration and productivity tools provided through the cloud, permitting students to work together with access to e-mail, calendars, Office Web Apps, Office Desktop versions and Lync on most devices.

Why can't I have both an Office 365 Home Premium subscription and an JJC Office 365 subscription?

Your Microsoft account can only have one active subscription.

Will my e-mail address change with Office 365?

No, your e-mail address will remain the same - username@stu.jjc.edu

Will the Office 365 mail service work at off-campus locations?

Yes, just enter username@stu.jjc.edu in the dialog sign-in dialog box along with your password. Office 365 is available to JJC users anywhere in the world, provided the device you are using has a successful connection to the internet.

What is my password?

  • Your account is created 24 to 72 hours after applying to JJC.
  • To begin using your account, you must set your password
  • If you’ve lost or forgotten your password, you must change your password.

Setting Up Your New Office 365 Email Account

You don't have to do a thing. (It is already set-up for you, same user name and password). Students that have not yet logged into their email MUST set their password by going to http://www.jjc.edu/password.

  1. Begin setting up your password - go to the "ID / Username / Password Help" page.
  2. Click on "Change my password"
  3. Fill out the information on the following page.
  4. Choose a security question and answer (Remember how you type the answer; it will need to be typed exactly as you type it here, if needed in the future.)
  5. Click on "Change Password" again.
  6. Make sure that the requirements are met while assigning your password.
  7. Please note the following password rules:
    • Your password MUST be from 8 to 16 characters in length.
    • It must not contain your actual username.(portion before the @ symbol)
    • It must not contain the answer to your security Question.

    It must contain characters from 3 of these 4 categories:

    • English uppercase letters
    • English lowercase letters
    • Numbers 0 thru 9
    • Non-alphanumeric characters (NO spaces allowed)
  8. You should see a new screen that says "your password has been successfully changed"
  9. Go to the "Email" page.
  10. Click on the "Login to Student Email Office 365" link (NOTE: If you were previously logged in to a different live or hotmail account, you may need to log off first, then proceed to www.outlook.com/stu.jjc.edu). Enter your JJC email user name, for example username@stu.jjc.edu.
  11. You will have a few preference options for your email. There is an accessibility option in which you can enable a blind and low-vision experience. This is also where you set up your language and time zone. When ready, click on OK. If you made a mistake, all of these options can be set later by going into the Options link when you are viewing your inbox. You have completed the JJC Office 365 first-time sign-in process and your new Microsoft Office 365 E mail account is now set up.
  12. You can change your password at any time by repeating steps 1 through 12.

I don't see SkyDrive or any other options

You need to Configure your browser to use the full version of Outlook Web App

  1. Log into Outlook Web App.
  2. Click Options button, located at the top right corner.
  3. Select "Outlook Web App version" from the left hand menu.
  4. Remove the check-mark from within "Use the light version of Outlook Web App" check box.
  5. Click Save button.
  6. Log out and log back in for this setting to take affect.

Important: You may be required to clear your cache and cookies for this setting to be applied.

I'm having problems installing the office programs on my home devices

Troubleshoot your Office installation

When you're installing, you may get a "Something went wrong..." error. Or, if you get some other error, see General troubleshooting for installing Office 2013 and Office 365.

After you have Office installed, try creating a few documents. If an Office program looks blurry, displays as all black or all white, the screen flickers, or looks different on different computers, see Office 365 doesn’t look right.

More information

You may have noticed that how you get the latest version of Office is different from Office 2010 or Office 2007. The latest version of Office with Office 365 is offered as a subscription. Also the Office applications are packaged together for faster download and installation. Once you've installed Office, you can delete the short-cuts to the programs that you don't need. If you need to, you can run different versions of Office products, like Excel 2013 and Excel 2010, side-by-side on the same computer.

You can install the latest version of Office on up to five computers that you use. After you've completed the installation, make sure you have automatic updates turned on.

Depending on your operating system, here's what Office includes:

  • Office on your PC includes Access, Excel, Lync, OneNote, Outlook, PowerPoint, Publisher, and Word.
  • Office on your Mac includes Excel, Outlook, PowerPoint, and Word.

Also know that:

  • Mac users can install Lync separately.

NOTE: You can also install the latest version of Office on your Surface Pro. You'll have all the same programs as Office on a PC.

Can I check my email using my mobile phone?

Yes. There are a few ways to check JJC Office 365 email using an Internet-enabled mobile phone:

The following are general settings for your mobile device or email software in order to utilize student email. The following should include all the information you will need to fill in other than your own username (be sure to enter your full email address, i.e. username@stu.jjc.edu) and password.

Mobile Devices (Smart Phones/Tablets)

What is the difference between eResources and e-mail?

You are given two accounts when you apply for admissions and / or sign up for a college credit course. Though they are separate, you will only have ONE username and ONE password for both.

Your e-mail account gives you access to Office 365 and any e-mail messages you might receive from your instructors, fellow students or JJC. The account is created overnight.

Your eResources account enables you to access your student records via the Web as well as register and pay for your classes.

Who can access 365?

Currently ONLY JJC students that are NOT Faculty or Staff Members have access to 365.

Your Account Information

How can I find out my user name of the Office 365 Email account or my password?

Your office 365 Email account name (address) is your JJC username along with the @stu.jjc.edu suffix. You can also look it up by going to the JJC main web site (www.jjc.edu ) and clicking on the "Check Email" icon at the top of the web page. Click on the "ID/User Name/Password Help" quick link on the left side of the web page. Select "Find my JJC ID / username / email" and follow the instructions to look up your ID/username and/or email address.

How do I check my email?

Log into your new email by going to http://outlook.com/stu.jjc.edu. You will need to enter your username@stu.jjc.edu email address and your password.

When does an Office 365 email account get deleted?

Your Office 365 student Email account will be purged if it is unused for more than 180 days, the contents of the email inbox are deleted and the account becomes dormant.

If a student account becomes dormant, do new email messages still get received?

When an account goes dormant, the sender will receive a Non-Delivery Report or NDR stating the message could not be delivered to the intended recipient.

Using the Account

Can students forward their e-mail out of Windows Live into another account?

Yes. But if you forward mail to another account, faculty/staff emails may get caught and eliminated by the spam filters used by the other email account into which you are forwarding your mail (the stu.jjc.edu domain would need to be safe-listed). With no forwarding, only Office 365 anti-spam filters apply, and the addresses of the mail servers associated with faculty and staff email are automatically safe-listed to ensure you receive all email from the College. As a result, emails from those servers will always get through to your Office account. Also note that forwarded email is not stored in sent items, and so the student will have no record of it in their Office 365 inbox.

You can do so by creating a rule with the following directions:

  1. Click Options to open the Options menu in the Navigation Pane
  2. Click Organize E-Mail in the Options navigation pane
  3. Click the tab Inbox Rules
  4. Click New... and a New Inbox Rule pop-up window will come up. Select [Apply to all messages] from the *When the message arrives, and: drop down.
  5. Under *Do the following: select Forward the message to... from the drop down list
  6. The Address Book will open, enter the desired destination e-mail address in the 'To' field under Message recipients:
  7. Click the OK button, then click the Save button

How much email storage space is provided?

25 GB is provided for email. This will provide plenty of space to store email messages with pictures and other documents.

What is the maximum size for a message (including attachments)?

The maximum size for a message you can send is 20 MB. The message may include up to 125 attachments no larger than 20 MB total.

What is the maximum number of emails I can send per day?

Users can send 500 mail messages from their Live@edu account per day. Each address in the To, Cc or Bcc field counts as a message. That means you can send 100 messages to 5 people or 5 messages to 100 people, etc. **NOTE: Email sent between users at JJC do not count against the daily maximum.

How can I use mail clients, such as Thunderbird and Outlook, with Microsoft Office 365?

Does student email include calendar and contact management?

Yes, JJC Office 365 includes a calendar, address book, and calendar-sharing option.

How do I get alerts on my cell phone?

You can sign up for text alerts from the Windows Live Alerts service- http://alerts.live.com/Alerts/  (Recipients may be a charged a fee by their mobile provider to receive messages.)

Spam Management

How does student email handle spam?

There are a number of methodologies to combat spam on the Windows Live Hotmail platform. SmartScreenTM Technology learns to detect spam based on you reporting spam in your inbox. SenderID Framework matches the sender's email address against their IP address to protect against spoofing. About 95% of all spam and 99% of image-based spam are blocked. While spam traffic has increased 40% across the Internet, Hotmail spam is down 80% over the past year thanks to the work of our spam-fighting team and technologies. If using the web interface, all email undergoes a virus check/scan. However, since the anti-virus tools are server side, this does not apply if you use POP. Do I have the ability to control anti-spam options, for example, training the system what is spam?

Yes, you may identify email as safe versus unsafe, and Hotmail also "learns" to mark spam based on user actions. Furthermore, you can set individual junk mail folder rules, block lists, and safe lists.

Can I "trust" or "block" an email address directly from the webmail interface?

Yes. You may set individual mail folder rules, and create blocked and safe sender lists via the web and also in rich clients such as Windows Live Mail and Outlook.

Advertising and Marketing Policies

Will I receive advertising on my @stu.jjc.edu e-mail account?

While you are a currently registered credit student, banner ads for third-party products and services will not appear on the web user interface for your Office 365 account. Microsoft reserves the right to display information about Microsoft products and services, but of course recognize the need to do so in a manner that is tasteful and not overbearing. For example, Microsoft may opt to show "tips and tricks" to enhance usage of Windows Live services or occasionally display information about special Microsoft offers for students. If you are not a currently registered credit student (have graduated or are an alumni), you will see family-safe banner advertisements for third-party products.

What are key advertising and marketing points for Office 365?

  • No sharing or sales of users' personal information neither with third parties, nor internally within Microsoft unless student explicitly opts in.
  • No scanning of email content for ads.
  • No behavioral targeting of ads.
  • No commercial tagline attached to the bottom of emails.
  • Family-safe banner ads in alumni/employee Windows Live email web interface.
  • Current credit students do not see third party advertising in the email interface.

What is Microsoft's creative acceptance policy for Banner Ads?

Does Microsoft share or sell student/alumni contact information with third parties?

No, Microsoft doesn't share or sell any contact information unless the user opts in. This is covered in Microsoft's comprehensive privacy and disclosure policies which are available not only to Microsoft Windows Live participants but to all users of Microsoft's online services. Is there a marketing signature attached to e-mails sent from Office 365?

No. There is no signature transmitted or attached to e-mails sent by students to other email recipients.

Does Microsoft scan e-mail content to deliver ads?

No. Email content is not scanned for the purposes of delivering advertisements. Email can be scanned if the student initiates a search of their inbox.

I forgot my username / password. How do I get my account info?

You have one JJC username and one JJC password. Visit the password help page to look up your ID and/or username. Passwords are no longer being recovered. If you have forgotten your password you will need to create a new one.

If you have opted in to the new student email, the format is "studentname@stu.jjc.edu" and you can choose to either keep the same password for both emails, or you can maintain separate passwords for each.

To have the same password for both accounts:

  • Reset your password through eResources, where the password will be synchronized between Live@edu and your Live@edu account.

To maintain a separate password for Live@edu:

  • Reset your password through eResources, where the password is synchronized between Live@edu and your Live@edu account. Then go to Live@edu, and reset your password there for your Live account.

Remember: once you change your password on the eResources side, it automatically changes your password to match on the Live@edu side. You will have to re-change your password on the Live@edu side if you want to keep it separate.

I know my password, why is it not working?

If you fail to enter your credentials correctly three times, your account may become locked. Visit the password help page, provide the requested information and perform the unlock account function. If that doesn't work, try closing and re-opening your browser. If neither of the above work, try changing your password.

If you are having Live@edu password problems:

  1. Go to the password help page
  2. Click on "Change my password" and follow the prompts
  3. New passwords must be 8-16 characters and include 3 of the following
    • Uppercase letters
    • Lowercase letters
    • Numbers
    • Special Characters (!@#$^&* but NO SPACES)
  4. Changing your password through eResources will automatically change your password for both your jdoe@jjc.edu AND your jdoe@stu.jjc.edu accounts. If you want to maintain the same password for both accounts, do nothing more. If you want to maintain different passwords for each account go to Live@edu and reset your password there.

    *Remember: once you change your password on the eResources side, it automatically changes your password to match on the Live@edu side. You will have to re-change your password on the Live@edu side if you want to keep it separate.

What is my student profile and how do I change it?

Your student profile shows personal data that is on file with JJC. Please visit the Registration Office, J-1009, to change any of this information. You should always bring a photo ID with you to any office you visit on campus.

What is eResources?

eResources provides a means for you to access your administrative records via the web. You can register for course sections, make payments, look at your academic history, manage your JJC computer account and access information about many of the other services provided by JJC. For more specific information, go to eResources and login, then view all your menu items. The menu(s) have all the functions available to you.

Can I use eResources if I have student restrictions?

Certain restrictions prevent you from using parts of eResources, especially the registration processes. If you have a restriction, such as a parking or library fine, please visit the appropriate office as soon as possible to resolve it. Failure to do so could prevent you from getting access to your records when you need them.
